A janitorial contract is facility upkeep: nightly cleaning plus everything that keeps the building running — consumables ordered and restocked to par levels, a floor-care cycle (scrub-and-recoat, annual strip-and-wax) scheduled and priced into the agreement, a site logbook, and optional day-porter coverage while you're open. If you're buying paper towel yourself and booking floor work as separate projects, you have cleaning, not janitorial.
A night crew does the full reset after close — washrooms, floors, trash — when they can move fast without working around people. A day porter keeps the building presentable while it's occupied: washroom checks every two to three hours, lobby and entrance touch-ups, spill response, dispenser top-ups. A building under about 100 daily occupants usually only needs the night crew. High-traffic lobbies, clinics, and food-adjacent facilities add a porter for four to eight daytime hours.
Either works. Some clients buy their own paper, soap, and can liners and we keep the dispensers stocked — that labour is already in the contract price. Most have us manage it: we set a par level per dispenser, track what the building actually goes through, order before you run out, and bill consumables at cost as their own line on the monthly invoice — no markup buried in the cleaning rate. We'll also flag dispensers that waste product.
Nightly work is dust-mop and damp-mop on hard floors — an auto-scrubber where the layout allows — plus vacuuming carpet traffic lanes. The periodic cycle is written into the contract instead of quoted as separate projects: machine scrub-and-recoat on VCT every three to four months, a full strip-and-wax once a year, and hot-water carpet extraction once or twice a year depending on traffic. Floors are where a janitorial contract shows its age first, so we schedule this up front.
A logbook stays on site. The crew signs in and out every visit, records what was completed, and flags what we noticed — burnt-out lights, a running toilet, low stock, damage that predates us. A supervisor runs a scored inspection sheet monthly, grading washrooms, floors, dusting, and entrances, and reviews it with you. Leave a request in the book and it's actioned the next visit. A real person also reads every message — reply within one business day.

We count washrooms and fixtures, note dispenser types, measure flooring by type (VCT, carpet, and polished concrete each price differently), and ask about occupant count, waste volume, and access procedure.
